Participating in a Campaign

Campaigns make it easy to stay connected with your database using professional email marketing prepared by your brokerage.

Your Brokerage Marketing Admin creates the email, schedules when it will send, and makes it available to eligible agents. You choose whether to participate and which groups of contacts should receive it.

Find Available Campaigns

To view upcoming Campaigns:

  1. Click Marketing to open the Marketing Center.

  2. Look for Upcoming Campaigns on the Overview page.

  3. Click All Campaigns to see additional Campaigns available to you.

  4. Select Preview and Participate on the Campaign you want to review.

You will only see Campaigns made available to your company, region, office, or team.

Preview a Campaign

The Campaign Preview includes:

  • A description of the Campaign and its intended audience

  • The email subject

  • A preview of the completed email

  • The scheduled send date and time

  • The contact tags that will determine its recipients

Review the description and email before participating. The Campaign’s content is created and controlled by your Brokerage Marketing Admin and cannot be edited while you are participating in it.

Participate in a Campaign

To participate:

  1. Open the Campaign Preview.

  2. Review the Campaign description, subject, content, and scheduled send time.

  3. Click the Tags field.

  4. Select at least one contact tag.

  5. Add any additional tags you want to include.

  6. Click Save.

The Campaign will be sent to contacts in your database who have at least one of the selected tags.

After saving, the Campaign card will confirm that you joined and display the tags you selected.

Choosing the Right Tags

Tags allow you to participate without sharing your individual contacts with your brokerage.

Choose tags that match the Campaign’s intended audience. For example:

  • Use a buyer-related tag for buyer nurturing content.

  • Use a seller-related tag for home valuation or listing content.

  • Use a newsletter tag for contacts who should receive recurring brokerage updates.

  • Use a market report tag for contacts interested in ongoing market information.

Your Admin may include a recommended default tag. Review it before saving and add or remove tags as appropriate for your database.

Best practice: Review the contacts associated with a tag before enrolling. This helps ensure the Campaign reaches the intended audience.

Allow Automatic Campaign Participation

If your brokerage regularly provides Campaigns, you can allow Admins to enroll you automatically using your tags.

  1. Open My Profile.

  2. Select Campaigns.

  3. Enable Allow admin to send campaigns on my behalf using my tags.

When this setting is enabled, eligible Campaigns can use the default contact tags selected by your Admin. This removes the need to enroll manually in every Campaign while continuing to send messages through your own account and database.

You can change this permission from My Profile > Campaigns whenever needed.

Note: Automatic participation works best when you consistently apply your brokerage’s recommended Campaign tags to the appropriate contacts.

Change Your Tags or Opt Out

Before the Campaign sends, you can reopen its preview to review your participation.

From the Campaign Preview, you can:

  • Add or remove selected tags

  • Save your updated tag selection

  • Select Opt-Out to leave the Campaign

If you opt out, the Campaign will not send on your behalf.

An additional option allows you to opt out and duplicate the Campaign. This creates an editable copy that you can customize and send separately. This is optional and is not part of the standard Campaign participation process.

Contact Privacy

Your Brokerage Admin does not receive access to your individual contacts.

Admins identify a Campaign’s intended audience using contact tags. Rechat then finds matching contacts separately within your database. Your Admin can see that you enrolled and which tags you selected, but they cannot use the Campaign to browse the individual contacts associated with those tags.

What Happens When the Campaign Sends?

At the scheduled time, the Campaign is sent to the contacts associated with your selected tags.

The email may use placeholders to personalize the message with:

  • Your name

  • Your contact information

  • Your profile details and branding

  • The recipient’s information

This allows your brokerage to provide consistent marketing while each email is delivered on behalf of the participating agent.
