# Creating and Managing Saved Searches

Saved Searches preserve a set of property-search criteria so you can return to current matching listings without rebuilding the search.

### How Saved Searches work

A saved search stores the location, custom map area, and property filters applied to a property search.

Depending on how you configure it, a saved search can:

* Give you a quick way to revisit current matching properties.
* Send new matches to one or more clients.
* Track the delivery and engagement of the property-alert emails it generates.

Properties are not permanently stored within a saved search. The results may change as MLS listings are added, updated, removed, or no longer match the selected criteria.

### Create a saved search

First, build the property search you want to save:

1. Select **Search** from the left navigation menu.
2. Select **Search again**.
3. Search by city, postal code, address, MLS number, or another available location.
4. Apply the appropriate property filters.
5. If needed, use **Draw Area** to define a custom geographic area.
6. Select **Save Search**.

The Save Search window opens.

### Select clients

Use the **Clients** field to connect the saved search to one or more contacts.

1. Select the **Clients** field.
2. Search for a contact by name.
3. Select the contact.
4. Repeat the process to add additional clients.

Selecting a client is optional. Leave the Clients field empty if you want to save the search for your own reference without sending alerts.

Only contacts with an email address can be selected. If a contact does not appear as an available recipient, open their Contact Profile in People and add a valid email address.

**Privacy:** When multiple clients are connected to the same search, Rechat sends a separate email to each client. Recipients are not copied together and do not see one another’s information.

#### Create a new client

If the client is not yet in your Rechat account:

1. Open the **Clients** field.
2. Search for the client.
3. Select **Add new contact**.
4. Enter the client’s information, including an email address.
5. Save the contact.

Rechat adds the newly created contact to the Clients field so you can continue configuring the search.

### Name the search

Rechat automatically suggests a name based on the selected criteria.

To change it:

1. Select the **Search name** field.
2. Enter a short, recognizable name.

Use a name that identifies the client and search goal when possible. For example:

* Jacqueline – Venetian Islands
* Martins – 4+ Bedrooms Under $2M
* Downtown Condos – Weekly Alert

A descriptive name makes the search easier to identify later, particularly when you manage searches for multiple clients.

### Choose an alert frequency

Use **Frequency** to control how often clients receive new matching properties.

Available options include:

* **Instant:** Sends the current matching properties immediately. Afterward, another alert is sent as soon as a new listing matches the search.
* **Daily:** Groups new matching properties into a daily alert.
* **Weekly:** Groups new matching properties into a weekly alert.
* **Monthly:** Groups new matching properties into a monthly alert.
* **Never:** Saves the search without sending property-alert emails.

When multiple clients are attached to a search, they share the same alert frequency but receive separate emails.

If no clients are selected, no property-alert emails are sent regardless of the selected frequency.

### Save the search

After reviewing the clients, search name, and frequency, select **Save Search**.

The saved search becomes available under **Search > Saved**.

If you selected **Instant**, each attached client receives an initial email containing the current matching properties. Rechat then sends another alert as soon as a new property matches the search.

### Open the Saved page

From the left navigation menu:

1. Select **Search**.
2. Select **Saved**.

The Saved page lists your saved searches in a table.

The table includes:

| Column          | What it shows                                          |
| --------------- | ------------------------------------------------------ |
| **Search Name** | The name assigned to the search                        |
| **Summary**     | A brief description of the selected property criteria  |
| **Clients**     | The clients connected to the search                    |
| **Last Update** | The date the search was last updated                   |
| **Insight**     | Delivery and engagement reporting for generated emails |

A dash in the Clients column means that the search is not currently connected to a client.

Use the search field at the top of the page to find an existing search. Select **New Search** to begin a new property search.

### Reopen a saved search

To review the current matching properties:

1. Open **Search > Saved**.
2. Select the search name.

Rechat opens the search on the Map and reapplies its saved area and property criteria.

The results reflect current MLS data and may differ from the properties available when the search was first created.

### Update the search criteria

To change the location, map area, or property filters:

1. Open **Search > Saved**.
2. Select the search name.
3. Adjust the location, custom area, or filters.
4. Select **Update Search**.

Rechat saves the updated criteria to the existing search. Future results and property alerts use the updated criteria.

**Best Practice:** Before changing a client’s search criteria, confirm the changes with the client. Updating the search affects which properties are included in future alerts.

### Edit the search name or clients

To update the search details:

1. Open **Search > Saved**.
2. Select the three-dot menu beside the search.
3. Select **Edit**.
4. Change the search name, add clients, or remove clients.
5. Select **Save Changes**.

Removing a client stops future alerts from that search for the selected client.

You can remove every client if you want to retain the saved criteria without continuing client alerts.

### Delete a saved search

Deleting a saved search permanently removes it from the Saved page and stops future alerts generated by that search.

To delete a search:

1. Open **Search > Saved**.
2. Select the three-dot menu beside the search.
3. Select **Delete**.
4. Review the confirmation message.
5. Select **Confirm Deletion**.

This action is permanent and cannot be undone.

> **Note:** Deleting a saved search does not delete the attached contacts from People.

### Review email Insights

To review the property-alert emails generated by a search:

1. Open **Search > Saved**.
2. Locate the appropriate search.
3. Select **Insight**.

The Insight page lists the emails associated with that saved search.

Available columns may include:

* **Title:** The alert email’s subject and send date
* **Recipients:** The number of recipients
* **Delivered:** The number and percentage of emails successfully delivered
* **Opened:** The number of tracked opens
* **Clicked:** The number of tracked clicks
* **Spam Reports:** The number of recipients who reported the email as spam

Email opens and clicks depend on recipient privacy settings and email-client behavior. Treat these metrics as helpful indicators rather than a complete record of every interaction.

### Customize the Insights table

Select **View** on the Insight page to change how the reporting table is displayed.

You can:

* Choose Compact, Default, or Comfortable row spacing.
* Show or hide available columns.
* Reorder columns.
* Pin columns for easier reference.

These options only change how the reporting table appears. They do not change the saved search, its recipients, or the emails clients receive.

### What clients receive

Each attached client receives an individual, branded property-alert email containing the listings that match the saved criteria.

Depending on the available listing data and brokerage configuration, the email may include:

* Property photos
* Price and property details
* Address and MLS number
* Links to view individual properties
* Agent contact information
* Brokerage branding
* Required disclaimers
* View-in-browser and unsubscribe links

The agent does not automatically receive a separate copy of each client alert. Use **Insight** to confirm that emails were generated and delivered.

If a client unsubscribes, the unsubscribe applies to future marketing emails from the applicable sender or sending domain—not only the individual saved search.

### Saved Search best practices

* Give each search a descriptive, client-specific name.
* Confirm that the client has a valid email address before creating the alert.
* Use Instant alerts for clients who need to act quickly in competitive markets.
* Use Daily or Weekly alerts when immediate notifications are unnecessary.
* Select Never when you want to preserve search criteria without emailing anyone.
* Revisit long-running searches periodically to confirm that the criteria still match the client’s needs.
* Use Insights to identify engagement, then follow up personally instead of relying only on automated alerts.

### Frequently asked questions

#### Do I have to attach a client?

No. You can save a search without selecting a client. The search remains available under **Search > Saved**, but no property-alert emails are sent.

#### Can I attach more than one client?

Yes. All attached clients share the same search criteria and frequency, but each client receives a separate email.

#### Why can’t I select a particular contact?

Only contacts with an email address can be selected. Open the contact’s profile in People and add a valid email address before returning to the saved search.

#### What happens when I select Never?

The search remains saved, but Rechat does not send property-alert emails.

#### What does Instant mean?

Rechat immediately sends the current matching properties to each attached client. After that, another alert is sent as soon as a new property matches the saved criteria.

#### Will I receive a copy of each alert?

No. The alert is sent separately to each client attached to the saved search. Use **Insight** to review delivery and engagement.

#### What happens when I update the search criteria?

Future search results and property alerts use the updated criteria after you select **Update Search**.

#### What happens when I remove a client?

The client stops receiving future alerts generated by that saved search. Their Contact Profile remains available in People.

#### What happens when I delete a saved search?

The search is permanently removed from the Saved page and no longer generates future alerts. Deleting the search does not delete its clients from People.

#### Why did my previous saved searches and wishlists disappear?

The redesigned Saved Searches beta replaced the previous Saved experience.

Saved searches and wishlists created before the update were permanently removed and cannot be recovered. Recreate any searches you want to continue using and select the appropriate clients and frequency.

Wishlists are no longer available.
