Creating and Managing Tours
Tours help you organize several properties for an upcoming showing and provide clients with a professional, easy-to-follow Tour Sheet.
A Toursheet can include:
The tour title, date, and time.
General notes for the client.
Your name and contact information.
A map showing the selected properties.
A lettered stop for each property.
Property addresses and MLS numbers.
Prices, bedrooms, bathrooms, and square footage.
Property descriptions and additional MLS information.
Create a Tour from Search Results
Creating a tour from selected properties is the quickest way to build a showing itinerary.
Open Search > Search.
Find the properties you want to include.
Select the checkbox on each property.
Select Tours from the action bar.
Choose an existing Toursheet or select Create New Toursheet.
Add Properties to an Existing Toursheet
Select the properties from the search results.
Select Tours from the action bar.
Select the existing tour where you want to add the properties.
Tours are displayed with their scheduled date, time, and title to help you select the correct one.
Create a New Toursheet
After selecting properties:
Select Tours from the action bar.
Select Create New Toursheet.
Enter a title for the tour.
Add general notes for your client, if needed.
Select the tour’s date and start time.
Select Add End Time if you want to include an ending time.
Review the selected properties on the map and in the property list.
Add or remove properties as needed.
Attach a client, if applicable.
Select Preview to review the Toursheet.
Select Save.
Add or Remove Tour Properties
The selected properties appear as lettered stops, such as A, B, and C, on both the map and the property list.
To add another property, select Attach Property.
To remove a property, select the X beside the property in the tour builder.
Review the map after making changes to confirm that the correct properties are included.
Attach a Client to a Tour
Select Attach Client in the tour builder to associate a person from your Rechat contacts with the tour.
Attaching a client helps identify who the tour was prepared for and keeps the tour organized within your workflow.
Preview and Save the Toursheet
Select Preview before saving to confirm:
The title is clear.
The date and time are correct.
The client notes are ready to share.
The correct properties are included.
The map accurately represents the tour stops.
Your contact information is correct.
When everything is ready, select Save.
Open an Existing Tour
Open Search > Tours.
Locate the tour in the list.
Select View Toursheet.
The Tours page displays each tour’s:
Title
Date and time
Number of participants
Available actions
Use the three-dot menu beside a tour to access its additional management options.
Print or Save a Toursheet
Open Search > Tours.
Select View Toursheet beside the appropriate tour.
Review the generated Toursheet.
Use your browser’s print controls to print it or save it as a PDF.
What Is Included in a Toursheet?
The first page contains:
The tour title.
The scheduled date and time.
General client notes.
Your contact information.
A map of the included properties.
Each property then receives a separate section that may include:
Lettered tour stop.
Property address.
MLS number.
Listing price.
Bedrooms and bathrooms.
Square footage.
Property description.
City.
Property type.
Price per square foot.
Year built.
The exact property information depends on the data supplied by the MLS.
Before Sharing a Toursheet
Confirm that:
Showing appointments have been scheduled separately.
Each property is still available.
Prices and listing statuses are current.
The properties and tour date are correct.
Your contact information is up to date.
Creating a Toursheet does not schedule showing appointments or confirm access to a property. Continue to follow your brokerage’s required showing and scheduling process.
