# Email Marketing

Create, customize, test, save, schedule, and send branded Marketing Emails from Rechat’s Marketing Center.

Create professional, branded Marketing Emails for newsletters, listings, market updates, announcements, celebrations, and other communications.

This guide covers the complete Marketing Email workflow—from choosing a layout and building the email to selecting recipients and sending or scheduling it.

**Note:** This guide covers Marketing Emails created from the Marketing Center. Simple Emails use a different workflow and are documented separately.

### Why use a Marketing Email?

Marketing Emails are designed for communications sent to an audience, such as your database, a contact list, or contacts with a particular tag.

You can use Marketing Emails to:

* Send a newsletter
* Promote a listing
* Share a Market Report
* Announce an open house
* Celebrate a holiday or client milestone
* Share helpful articles or videos
* Feature a testimonial
* Introduce yourself or your team
* Direct recipients to a website or other resource

Marketing Emails include the required unsubscribe option and brokerage-provided footer content.

### Start a Marketing Email

1. Select **Marketing** from the main navigation.
2. Select **Marketing** from the submenu.
3. Open the category containing the email you want to create.
4. Select **Email** if multiple formats are available.
5. Select a template to open its preview.
6. Select **Next**.

Depending on the template, Rechat may first ask you to choose a listing, location, testimonial, or other information before opening the Email Editor.

### Start with a blank email layout

To build a Marketing Email from the ground up:

1. Open **Newsletters** in the Marketing Center.
2. Select **Email**.
3. Choose an available blank email layout.
4. Select **Next**.

Blank layouts are provided through your brokerage and may already include:

* Your brokerage’s logo
* Brand colors and fonts
* Brokerage or office information
* Required legal or compliance language
* A **View in Browser** link
* An unsubscribe link
* A Rechat footer

**Why does my Newsletters screen look different?**

Each brokerage controls the email templates available to its users. Some accounts may include several completed newsletter designs, while others may primarily display blank branded layouts.

### Navigate the Email Editor

The Email Editor contains three primary areas:

* The **design canvas**, where you build and review the email
* The **Insert panel**, where you find content blocks
* The **top toolbar**, where you preview, test, save, and continue the email

### Use the design canvas

The center of the editor displays the email as recipients will see it.

Brokerage-provided elements may already appear in the design, including:

* Logos
* Office or brokerage information
* Disclaimers
* Compliance language
* View in Browser links
* Unsubscribe language
* Footer content

Avoid removing required brokerage or compliance content.

Select an editable item on the canvas to open its available settings. The controls displayed in the right panel depend on the selected item.

### Use the top toolbar

The toolbar at the top of the Email Editor includes controls for reviewing and completing the design.

#### Undo and redo

Use the **undo** and **redo** arrows to move backward or forward through recent design changes.

#### Preview on desktop or mobile

Select the **desktop icon** or **mobile icon** to preview the email at different screen sizes.

**Best practice:** Review both views before sending. An email that looks balanced on a computer may require adjustment for a smaller screen.

#### Adjust the zoom

Use the minus, percentage, and plus controls to change the editor’s zoom level.

Zoom changes how the design appears while you work; it does not change the email’s final size.

#### Report an issue

Select **Report Issue** if you encounter a technical problem while working in the Email Editor.

#### Send a test email

Select **Send Test Email** to deliver a test version before sending the Marketing Email to your audience.

Use the test email to check:

* Spelling and formatting
* Images and videos
* Buttons and links
* Listing information
* Agent and brokerage information
* Desktop and mobile presentation
* Footer and compliance content

**Best practice:** Open the test on both a computer and a phone, and select every important link to confirm it opens the intended destination.

#### Save and continue

Select **Save & Continue** when the design is ready.

Rechat saves the design and opens the **Edit Email** drawer, where you choose recipients, add a subject, and send, schedule, or save the email as a draft.

### Add content blocks

The Insert panel organizes available content blocks into five categories:

* **Basics**
* **Video**
* **Listings**
* **Articles**
* **Agents**

Expand a category to see its available blocks. Drag the block you want to use from the Insert panel into the desired position on the email canvas.

After adding a block, select it on the canvas to review and customize its available settings.

### Basics

The **Basics** category contains general design and content elements.

Available Basics blocks may include:

* Image/GIF
* QR Code
* Testimonials
* One Image
* Two Images
* Three Images
* Four Images
* Image Slider
* One Column
* Two Columns
* Three Columns
* Headline 1
* Headline 2
* Headline 3
* Fancy Font
* Text
* Divider
* Spacer
* Button
* Social Group

#### Images and GIFs

Use the image blocks to add one or more images in the desired layout.

The available options allow you to create:

* A single-image section
* Side-by-side images
* Three- or four-image layouts
* An image slider
* Image and text combinations

Choose clear, high-quality images that support the message without making the email unnecessarily long.

#### QR codes

Use the **QR Code** block to provide a scannable path to a website or other supported destination.

Before sending, test the QR code using a phone to confirm that it opens the correct link.

#### Testimonials

Use the **Testimonials** block to feature client feedback in the email.

Depending on the available settings and saved account data, you may be able to select an existing testimonial or provide testimonial content for the design.

#### Columns

Use one-, two-, or three-column blocks to organize content into structured sections.

**Best practice:** Use multi-column layouts sparingly. Narrow columns that look appropriate on desktop may become crowded or stack differently on mobile.

#### Text and headings

Use the available headline and text blocks to establish a clear hierarchy.

* Use headings to introduce sections.
* Keep paragraphs concise.
* Use left-aligned body copy for readability.
* Reserve decorative or centered text for short headings or callouts.

#### Dividers and spacers

Use **Divider** to create a visible separation between sections.

Use **Spacer** to add controlled blank space without inserting empty text or unnecessary line breaks.

#### Buttons

Use **Button** to create a clear call to action, such as:

* View a listing
* Read more
* Register
* Contact me
* Visit a website
* View the email in a browser

Always test the button destination before sending.

#### Social Group

Use **Social Group** to add supported social media icons and links.

Confirm that each icon links to the correct profile or page before sending.

### Video

Expand **Video** in the Insert panel and drag the **Video** block into the email.

#### How video works in an email

Email applications do not natively support video in the same way as a website or social media platform.

To display movement within the email, Rechat converts supported video content into a GIF, which email applications treat as an animated image.

GIFs have two important technical limitations:

* GIF output is limited to 256 colors.
* Longer GIFs can produce large files that some email applications may refuse to display.

As a result, the animated version shown inside the email may be:

* Shorter than the original video
* Lower in visual quality
* Less detailed in color
* Displayed differently depending on the recipient’s email application

**Best practice:** Use a short video with a clear subject and limited visual complexity. Send yourself a test and review it on both desktop and mobile before sending it to your audience.

The email should still communicate its purpose if a recipient’s email application limits or does not display the animated content.

### Listings

Use the **Listings** category to add property information and images to an email.

Available layouts may include:

* Listing Image
* Image Top
* Grid
* Aligned Grid
* Image Left
* Image Right

After adding a Listing block, select the property or properties you want to feature. Rechat can use available listing data and photography to populate the block.

Review all populated information before sending, including:

* Address
* Price
* Status
* Property details
* Photography
* Links
* Agent information

**Best practice:** Choose the listing layout based on the number of properties and the amount of detail you want to include.

### Articles

Use the **Articles** category to add editorial or informational content.

Available layouts may include:

* Image Top
* Image Left
* Image Right

After adding an Article block, use the available options to find or provide the article you want to feature.

Review the:

* Headline
* Image
* Excerpt
* Destination link

before sending the email.

**Best practice:** Choose articles that are useful and relevant to your audience. The goal is to provide value and create a reason to stay connected—not simply to fill space.

### Agents

Use the **Agents** category to add professional information for one or more agents.

Available blocks may include:

* Agent
* Agent Multi

Use **Agent** when featuring one person. Use **Agent Multi** when the email should include multiple team members or agents.

Review each person’s:

* Name
* Photo
* Title
* Phone number
* Email address
* Other available profile information

If information is missing or incorrect, update the associated profile before sending.

### Customize an added block

Select a block on the design canvas to open its available settings.

Depending on the block, you may be able to change:

* Text
* Typography
* Images
* Links
* Alignment
* Colors
* Spacing
* Listing selection
* Article selection
* Agent selection
* Other content-specific settings

The available settings depend on the selected block and any brokerage controls applied to the design.

### Use placeholders

Placeholders dynamically populate supported sender, recipient, listing, or office information in marketing.

Placeholder availability depends on the selected field, template, account permissions, and the information available in Rechat. ### Add a View in Browser link

A View in Browser link allows recipients to open a web-based version of the Marketing Email.

Many brokerage-provided layouts already include **View in Browser** in the footer. When the email is sent, Rechat generates the appropriate browser version for that specific email.

A browser version can be helpful when:

* An email application does not display the message as intended
* A recipient wants to view the email in a browser
* You want to share the completed email using a link
* You want to reuse the email in a text, internal channel, or follow-up message

#### Add a View in Browser button

To add another View in Browser link within the email:

1. Expand **Basics** in the Insert panel.
2. Drag a **Button** block into the email.
3. Select the button to open its settings.
4. Clear any existing text from the link field.
5. Select or insert the **View Email in Browser** placeholder link.
6. Update the button text. For example, enter **View in Browser**.
7. Send a test email and confirm that the button works as expected.

**Note:** The browser destination is generated when the Marketing Email is sent. The link may not behave like a completed public URL while the email is still being designed.

### Review your email before continuing

Before selecting **Save & Continue**, confirm that:

* The message has a clear purpose.
* The most important information appears near the top.
* Headings and body copy are easy to read.
* Images are clear and properly placed.
* Listing, article, and agent information is accurate.
* Buttons and links open the correct destinations.
* The email looks appropriate in desktop and mobile previews.
* Required brokerage, compliance, and unsubscribe content remains intact.
* You have sent and reviewed a test email.

### Add recipients and a subject

Select **Save & Continue** to open the **Edit Email** drawer.

#### Confirm the sender

Review the **From** field to confirm which connected email account will send the message.

If more than one sending account is available, use the dropdown to select the appropriate account.

#### Select recipients

Use the Bcc recipient field to enter an email address or search for:

* Individual contacts
* Tags
* Lists

Available suggestions may include:

* **All My Contacts**
* **Our Agents**
* **Tags**
* **Lists**

Recipients are added using Bcc so they do not see the email addresses of other recipients.

**Important:** Review broad recipient selections carefully. Options such as **All My Contacts**, tags, and lists may add a large audience.

#### Add the subject line

Enter a clear subject that accurately reflects the content of the email.

Keep the subject concise, avoid unnecessary punctuation or capitalization, and do not use misleading language merely to encourage an open.

#### Add an attachment

Select the **attachment icon** to add a supported attachment when necessary.

Avoid unnecessary or unusually large attachments, which can make an email more difficult to deliver or open.

#### Review additional options

Select **More** to review any additional sending options available for the email.

### Save the email as a draft

Select **Save As Draft** if you are not ready to send or schedule the Marketing Email.

Saving the draft allows you to leave the sending workflow and return to the email later through History.

### Send the email immediately

When the recipients, subject, and final content are ready, select **Send**.

Review the email carefully before sending. A Marketing Email cannot be recalled from recipients’ inboxes after it has been delivered.

### Schedule the email

Select the **clock icon** to schedule the Marketing Email for a future date and time.

Choose the desired send information, review the email, and confirm the scheduled send.

Before scheduling, verify:

* The send date
* The send time
* The relevant time zone
* The recipients
* The subject line
* Any time-sensitive content or links

### Understand your email quota

Your email quota determines how many Marketing Emails you can send during the applicable billing period.

### Where to find drafts and previous emails

Select **History** from the Marketing Center or Marketing submenu to find supported draft, scheduled, sent, and previously created Marketing Emails.

The available actions depend on the email’s status.
